Start with information the venue can use

State the date, local arrival time, likely departure time, confirmed number of guests and whether that count may change. Explain whether you want a meal, a reserved table or a private area. If the name is easily confused with another business, verify the full name and map location first. A precise request is more likely to produce a useful quotation than asking for the best deal without dates or a group size.

Ask for the table and the rain alternative

Say whether you prefer an outdoor, covered or quieter table, and ask which features can be guaranteed. Check whether the entire party stays together if weather closes the terrace. Ask how long a late table is held, whether there is a sitting limit and whether the kitchen serves throughout the booking. These answers matter before you arrange transport around a fixed arrival or departure.

Describe access and dietary requirements

Ask about the route from the entrance to the actual table and toilet. Include any specific dimension, step or surface concern relevant to the guest, rather than relying on an accessible label. For food restrictions, request direct confirmation from the venue about what it can accommodate. Share only information needed to arrange the visit. The venue’s answer is not a medical opinion or proof that every possible requirement is met.

Get the commercial terms in one reply

Request the all-in price or pricing basis, currency, applicable charges, deposit, minimum spend, cancellation deadline and headcount-change rules. Ask who receives the money and how a refund is processed. If an individual contacts you with payment instructions that differ from the property’s published route, verify through the established venue contact before transferring funds. Keep the confirmation and receipt together.

A message you can adapt

Hello, we would like to enquire about a table for [number] guests on [date], arriving at [local time]. We would prefer [covered/outdoor/quiet] seating and plan to order [meal or service]. Please confirm the table arrangement, weather alternative, kitchen hours and [specific access or dietary question]. Could you send the total pricing conditions, any deposit or minimum spend, and the cancellation and headcount deadlines? Please also confirm the venue map location and your official payment method. Thank you.

Compare replies before confirming

Put answers from two suitable venues beside one another. An unanswered question should remain unknown rather than being treated as a yes. If both fit the requirements, compare the complete cost and flexibility. Send a final confirmation only when the group accepts the terms. This page supplies a template; it does not transmit messages, hold tables or collect booking payments on behalf of any venue.
