Describe the occasion honestly

When the garden is part of the reason for choosing a stay, tell the host what you want to do there. A quiet meal among registered guests, an afternoon with visiting friends and an organised celebration are different requests. Give the total number of people expected at each stage, whether food will be prepared on site and the planned finish time. Accurate information lets the host judge the request before either side pays or makes promises to guests.

Find the boundary of the rental

Ask which areas are exclusively yours and which are shared with owners, neighbours or other guests. Clarify access to the kitchen, outdoor furniture, toilets and parking. If photographs show a bar counter, barbecue or covered terrace, ask whether guests may actually use it and what is included. A photograph of an attractive setting is not an equipment inventory or permission to provide drinks, entertainment or catering there.

Put practical limits in the offer

Ask about the host’s rules for visitors, music, quiet hours, smoking, waste and cleaning. Request written permission for any activity that matters to your plan. If outside caterers or hired furniture are involved, establish who admits them and when deliveries can happen. These are questions for the property’s actual provider; a general reservation platform description cannot resolve every detail of an event at a particular address.

Give the group an alternative

Consider what happens if the outdoor area cannot be used. Ask whether there is enough permitted indoor space for the registered guests and whether changing the plan affects any separate venue or catering payment. Do not count a sleeping bedroom as an approved gathering room or assume a nearby venue will absorb the group. A smaller meal, a changed date or a separately confirmed restaurant booking may each lead to a different budget.

Confirm responsibility and departure

Name the person who communicates with the host, checks the property condition and returns keys. Ask how a damage deposit is recorded and how any issue will be documented at checkout. Keep the accommodation quote separate from optional catering, transport and venue arrangements.
