Start with where each person will sleep. Some may return home, others may share a hotel, and others may have chosen a guesthouse or apartment nearby. Group people by destination and approximate departure window. This produces a more useful transport request than assuming that everyone attending the evening wants the same return journey. Ask people to confirm the arrangement they will use before including them in a vehicle booking.
Write a return brief a driver can quote
State the collection address, number of passengers, bags and each drop-off. Give a preferred collection time or a clearly defined window, then ask whether the quote covers waiting. Confirm how a change will be requested, what extra waiting or additional stops would cost and who answers the phone. If a vehicle needs to make two runs, have the provider confirm that plan rather than calculating it from an optimistic journey estimate.
Treat late access as part of the room booking
Ask the host how guests enter after reception or a staffed entrance closes. For an apartment, establish who has the keys and whether everyone must arrive together. Check that the person holding the access instructions can actually be reached. If a friend leaves early with the only key, an otherwise sensible transfer plan can end at a locked door. A short written note shared with the people staying is usually more useful than instructions buried in a large group conversation.
Give people an independent way to leave
Keep the provider’s contact and pickup instructions available to each traveller who needs them. Decide what happens if somebody feels ready to leave before the planned vehicle, and avoid making one organiser’s phone the only route home. If you book a shared transfer, tell participants what is and is not included. Separate the evening’s food or venue contribution from the transport payment so a changed return plan does not create confusion over the whole bill.
Check each confirmation before the date
Review the room, venue and ride with their respective providers. A change to one booking does not automatically notify the others.
