Hotel booking conditions: cancellation, prepayment and no-show explained
The cheapest room can be the wrong purchase if one person drops out or the trip changes. Read the deadline, payment schedule and room occupancy together.

Compare rates that buy the same thing
A room photograph may sit beside several rate plans. Breakfast, occupancy, cancellation, payment timing and bed configuration can change between them. Copy these details into your shortlist before comparing the displayed totals. “Pay at property” describes a payment arrangement; it is not a promise that cancellation is free. A card guarantee, advance charge and security deposit are also different items, so ask what each amount covers.
Find the deadline and its time zone
Record the last moment for cancellation without the stated penalty, including the date and time zone used by the booking. Do not convert a vague “one day before” phrase into your own 24-hour rule. Booking.com’s published terms make cancellation and no-show charges depend on the provider’s applicable policy. Other channels have their own rules. Save the confirmation containing the conditions of the rate you actually bought.
A refundable rate is not automatically the better rate
Use your own uncertainty, rather than a universal rule. An illustrative three-night booking costs THB 4,800 without refund or THB 5,400 with free cancellation until a specified deadline. Flexibility costs THB 600. The non-refundable option puts THB 4,800 at risk if the full cancellation penalty applies. Ask whether the extra THB 600 is worthwhile for your uncertain dates or guest list. The answer changes if cancellation happens after the free deadline or only part of the stay is refundable. These are invented comparison figures, not current hotel offers.
Group changes can affect more than the bill
If four people become three, the provider may not simply remove a quarter of the room charge. A room may have been priced as a unit, an extra bed may have separate rules, or a different occupancy category may be needed. Ask whether changing names, dates or the number of guests is an amendment or a cancellation followed by a new booking. Do not cancel the original until the replacement and any resulting charges are understood.
Keep separate bookings separate
Cancelling a hotel does not automatically cancel an independently booked transfer, table or excursion. Write down the provider, reference, deadline and confirmation status for each service. If plans change, request each amendment through the channel specified in that booking, and retain the response. A message saying you intend to cancel is not the same as an accepted cancellation and refund confirmation.
Check before making another payment
Confirm who collects the balance, which currency is charged and whether a deposit is returned or credited against the bill. Be cautious if an unexpected message asks for payment through an unfamiliar link: use the provider’s known website or contact channel to verify it. Never put card details into a shared group-planning document. The final booking decision should be based on the full rate conditions, not a countdown banner or a crossed-out reference price.
